Overview

Your customer directory is a single list of people who have interacted with your business on Sway — through bookings, messages, or both — plus anyone you add yourself. Open any customer to see contact details, visit history, and upcoming appointments.

Everyone who books, messages, or is added appears in Customers.

Before you start

Note

Most customers appear automatically when they book or message you. Owners and admins can also add a customer or import a CSV.

Using the directory

  1. Search for a customer

Search by name, email, phone, tag, or a service they have booked.

Look for: Search name, email, or phone

Search updates the list as you type.
  2. Filter by status

Show all customers, only active, or only blocked.

    Look for: All customers

  3. Filter by service or tag

Use All services to find people who have booked a specific service. Booked services appear as tags on each customer. Use All tags to filter by labels you have assigned.

    Look for: All services

  4. Open customer details

Click a row to see booking history, contact options, and block or delete settings (admins only).

View upcoming and past bookings from the detail dialog.
  5. Contact from the directory

Email, call, or send a Sway message directly from customer details.

    Look for: Sway message

  6. Add a customer

Owners and admins can click Add customer, then enter first name, last name, and email. Phone is optional. You can mark them as opted in to email marketing only if you already have their permission — Sway cannot verify that. The person is tagged Manually imported.

    Look for: Add customer

  7. Import a CSV

Click Import CSV, choose a file, and map your columns to first name, last name, and email (phone is optional). Rows missing those fields or with an invalid email are skipped. If an email already exists, that row is skipped. You can mark the import as opted in to email marketing only if you already have their permission. Imports are capped at 2,000 rows and tagged Manually imported.

    Look for: Import CSV

  8. Delete a customer

Owners and admins can delete from the row menu or customer details. This removes the person from your directory (tags and marketing preferences included). Past bookings stay. If they book or message you again, they reappear.

    Look for: Delete customer

What happens next

Use the directory alongside your calendar and bookings list. For customers who should not book again, block them from their detail view. To remove someone from the list entirely, delete them (admins only).

Common questions

Frequently asked questions

They need to have booked or messaged you on Sway, or been added with Add customer or Import CSV. Walk-in customers who never booked online won't appear unless you add them or create a manual booking with their details.
